    1. Hosting Is Turned Off on the Server
    QuickBooks Desktop must be set to host the file only on the server. If other computers are accidentally hosting, or the server hosting is off, multi-user mode won’t work.
    2. Windows Firewall or Antivirus Blocking QuickBooks
    QuickBooks needs specific ports open for communication. If firewalls or antivirus software block these, it prevents users from connecting to the company file.
    3. QuickBooks Database Server Manager Is Not Running
    The Database Server Managerallows other users to access the company file. If it’s not installed or is disabled on the host computer, others can’t connect.
    4. Network Configuration Problems
    Problems with DNS, IP addresses, VPNs, or router settings can stop QuickBooks from locating the server or accessing shared folders.
    5. Company File (.QBW) Is Not Shared Correctly
    The folder where the file is stored must be shared with full permissions. If the file is stored on a computer that’s turned off, not networked properly, or has restricted access, users will get errors.

     Step-by-Step Fix – QuickBooks Multi-User Mode Problems


     Step 1: Check Hosting Settings on Each Computer

    On your server computer (the main one):
    1. Open QuickBooks
    2. Click File > Utilities
    3. Make sure it says Stop Hosting Multi-User Access (if it does, you're good!)
    On all other computers (workstations):
    • Go to File > Utilities
    • If it says Stop Hosting Multi-User Access, click it! Only the server should host.

    Step 2: Restart QuickBooks Database Server Manager

    1. Press Windows + R, type services.msc, hit Enter
    2. Find QuickBooksDBXX (XX = version, like DB30 for 2020)
    3. Right-click it > Restart
    4. Make sure it's set to Automatic

    Step 3: Open Required Firewall Ports

    QuickBooks Desktop versions use specific ports:
    VersionPort Numbers
    20248019, 56728–56730
    20238019, 56727–56729
    20228019, 56726–56728
    20218019, 56725–56727



    Also, allow:
    • QBW32.exe (QuickBooks executable)
    • QBDBMgrN.exe (Database Manager)
