Family Referral Program Policy

Objective

To reward our loyal community of parents and carers for recommending The Akidamy to their friends, family, and colleagues. We value word-of-mouth recommendations and wish to give back to those who help our community grow.

The Incentive

The Reward: One (1) Free Day of Childcare Fees per new child referred.

• The value is equivalent to the daily fee of the child enrolled.
• Application to Enrolled Children:
  • Standard (Siblings of different ages): If the Referrer has multiple children enrolled at the school (non-twins), earned credits are applied to the eldest child's fee statement. Credits cannot be split across siblings.
  • Families with Twins/Multiples: If the Referrer has twins or multiples enrolled, they will receive two (2) free sessions per referral (one per twin). This ensures the family receives a complete "Free Day" of care.
• Cumulative Rewards: There is no limit to the number of families you can refer. Rewards are calculated on a per-child basis.
  • Referring Twins: If you refer a new family with twins who both enrol, this counts as two (2) referrals, entitling you to double the reward.

Eligible Referrals

• The Referrer must be a current or past parent/guardian of The Akidamy.
• The Referee (New Family) must be a new family who has not previously attended or toured The Akidamy in the last 12 months.
• The referral must be formally made using the Referral Form Link or confirmed in writing prior to the new family's commencement.

Trigger for Reward

The Free Day credit is unlocked only when:

1. The New Family (Referee) has successfully enrolled.
2. The New Family has paid their bond/deposit.
3. The New Family has commenced care and completed their first two (2) weeks of attendance.

Limitations on Referrals

• One Referral Per Child: A reward is strictly limited to one claim per new child referred.
• Staff Exclusion: This policy does not apply to staff employed at the school. Staff referrals are managed under the separate Staff Referral Policy.
• Transfers: No family can receive multiple rewards for the same child if they are referred to another Akidamy school/campus. If a child transfers locations, this does not trigger a new referral incentive.

Application of the Reward: Standard (Current Families)

Default Rule: The credit is applied to the Referrer’s fee statement in the billing cycle following the trigger event.

• Consistency Rule: You cannot split rewards between personal use and gifting for the same referral. For example, you cannot keep one session for your child and gift a second session to the other family.

Application of the Reward: Alumni Referrals (Past Families)

Rule: If the Referrer no longer has a child enrolled at the school (e.g., the child has graduated to school), they cannot redeem a fee credit.

• Outcome: In this case, the "Free Day" credit will be automatically transferred to the Referee (The New Family).
• Benefit: This acts as a welcome gift to the new family on behalf of the alumni family.

Application of the Reward: The Gift Option

Rule: A Current Family (Referrer) may choose to waive their right to the credit and instead gift the Free Day to the New Family.

• Outcome: The credit will be applied to the Referee’s (New Family) fee statement.
• Gifting Limit: Even if the Referrer has twins (and would normally earn 2 sessions for themselves), if they choose to gift the reward, the New Family is strictly limited to receiving a maximum of one (1) child-only session credit per child.
  • Reasoning: The gift is intended to cover the new child's session, not the referrer's entitlement.
• Procedure: The Referrer must indicate this preference in writing or via the Referral Form checkbox at the time of referral.

Terms & Conditions

• The credit is not redeemable for cash.
• In the event of a dispute (e.g., two families claim to have referred the same friend), The Akidamy management reserves the right to make the final decision based on who submitted the formal referral first.
• This policy is separate from the Staff Referral Program and cannot be combined with other promotional offers unless specified.
