What is involved in the orientation visits?
We ask that you attend two x one hour orientation visits a week before your child’s enrolment commences. These visits will allow your child to become familiar with their new environment and give you the opportunity to ask the educators any questions you may have.You are not required to bring anything to orientations, however we ask that you please stay on the premises as your child will not count in ratio on the day. For the first orientation you are welcome to join your child in their studio to help them adjust. At their second orientation, we invite you to wait close by in Reception and enjoy a coffee while you receive regular updates about how your child is going.
What happens on my child’s first day of enrolment?
We understand that your child’s first day can involve mixed emotions. Our team is very experienced and is here to answer any of your concerns and assist you in the transition. Each morning, your child will be greeted at the door where a team member will take them to their studio to begin their day. Please feel free to call Reception at any time to ask for an immediate update or check the EarlyWorks app for Daily Communications.What do I need to bring each day?
The Akidamy’s philosophy is based around ‘Nothing But The Child’, where you can rest assured that your child will be provided with everything they need to enjoy their day. This includes all meals, water bottle, hat, sunscreen, spare clothes, nappies, formula, wet weather gear and so much more. We ask that your child comes dressed appropriately for the weather with shoes and clothing that covers their shoulders for sun protection. The only exceptions are around breast milk and formula bottles. Please see our Family Handbook for our detailed policy or speak with our team.Can we add or swap a permanent session?
Please submit your request with preferred days to our team. We have an Internal Waitlist for our current families who have requests to add or swap a session for their child. The families on our Internal Waitlist have priority over the families on our External Waitlist. We will reach out to you as soon as we can accommodate your request.Can we book in casual days?
If you require a casual day on the day, please call us from 7am on the day to request.Alternatively, casual days may be requested through our software platform; SmartCentral. Parents may request as many casual days as they wish. You will receive an email from SmartCentral to confirm if your request has been approved. Casual bookings are approved a week in advance. Please see the guide included for detailed instructions on how to book.
Do you charge fees on Public Holidays?
Our school is closed on Public Holidays, however if a Public Holiday falls on a day that your child usually attends, you will be charged for the day. Holiday Rates can be applied to Public Holidays if you provide 2 weeks written notice.What is the Holiday Rate?
The Holiday Rate is a 10% discount off our daily fee. Two weeks written notice is required to receive the discounted rate. The amount of Holiday Rates you’re entitled to depends on the amount of sessions your child is enrolled for each week. For example, if your child attends 2 sessions per week, you are entitled to 8 Holiday Rates per financial year (4x the number of sessions per week).What do I do if my child is unwell?

If your child will be absent from the school, please call, email or leave a Comment in EarlyWorks to let us know. If your child is absent, we’ll give you a courtesy call just to check in.What do I do if need to bring in medication for my child?
To bring in medication for your child that has been prescribed by your doctor, you will need to ensure the medication has a prescription label on it or a letter from your doctor explaining what the medication is. This includes over the counter nappy creams. This is due to some of our children having allergies.Which information do you require for my child to claim Childcare Subsidy?
To claim CCS, you must provide the CRN number of the CCS claimant and the CRN number of your child. You can apply for Childcare Subsidy through Centrelink. Once we submit your CRN numbers to CCS, you need to approve the enrolment in your MyGov account before your CCS becomes active.When will my CCS be paid?
Once you have approved your child’s enrolment in MyGov, your CCS payments can take up to 2 weeks to be paid. Your CCS will be back paid from the start of your child’s enrolment and will automatically come through as a credit to your Akidamy account.How is my CCS calculated?
Childcare subsidy payments are calculated based on multiple factors, including your CCS percentage, allocated hours per fortnight, sessions per fortnight, our cost per session and session duration. Please keep Centrelink updated with any changes such as your address or work circumstances.What do I do if I need to bring in medication for my child?

- Log in at smartcentral.net
- Go to the home page
- Under ‘Enrolment’ select ‘Bookings’ then ‘New Booking’
- Toggle off ‘Repeat’ then choose studio, date and daily fee (navigate to ‘next week’ if required more than aweek in advance)
- Click request
Drop Off & Pick Up - Perth
Drop Off:
- The Akidamy opens at 7am. Use the code provided to you at
- Orientation to enter the front door to Reception at Summers House.
- Children attending Cheriton House (K3 & K4 Studios) will need to be dropped off at Cheriton House if it is after 7:30am. If you are dropping off before 7:30am, you can drop your children off at Summer’s House and the educators will take them to Cheriton House.
- If you have a pram you would like to leave at the school until pick up time, please fold it neatly and stow away outside the entrance of Summers House.
- Our friendly team will greet you and your child in the foyer where you can provide any information you need to pass on. Let us know if they might need some extra morning tea, perhaps an earlier nap or if there’s anything we can do to make their day better.
- One of our team members will then escort your child to their studio for the day.
- Please do not forget to sign your child in on the Smart Central Kiosk at Reception. You will be shown how to do this at Orientation, but our team is always here to assist.
Pick up:
- You’re welcome to collect your child anytime that suits your schedule, please note we close strictly at 6pm.
- At the end of the day, you are welcome to go down to your child’s studio to collect them and have a chat with the Educators about their day.
- If you are collecting your K3/K4 child after 5:30pm, you will need to collect them from Summers House.
- Please ensure you sign your child out of SmartCentral when leaving the Akidamy.
- Fruit and Friday Treats available to take home with you from La Cucina (our kitchen).
When Must My Child Stay Home?
- If they have had diarrhea or vomiting within the previous 24 hours.
- If they have or have had a high temperature (37.5C or above) within the previous 24 hours.
- If they have green/yellow runny nose consistently, accompanied by another symptom such as cough, sore throat, temperature or generally unwell.
- Red, swollen or discharging eyes.
- Have an unexplained rash.
- If they are coughing or are generally unwell.
- If they have been given any pain relief medication (ie. Panadol, Nurofen, teething gel) within the previous 24 hours.
The health of your child and our school commumity always comes first. We are not medical professionals.
Any infectious and diagnosed illness will always require a medical clearance prior to returning to The Akidamy.
Exclusion Periods for Illness
The primary reasons for exclusion from The Akidamy are that the illness or injury:
- Prevents the child from participating comfortably in activities.
- Results in a need for care that is greater than staff can provide without compromising the health and safety of other children.
- Poses a risk of spreading harmful disease to others.
Exclusion periods:
- Vomiting - exclude until there has not been an episode of vomiting for 24 hours.
- Loose bowel movement - exclude until there has not been an LBM for 24 hours.
- Green/Yellow runny nose - children will be sent home if they are required to be wiped continually.
- Temperature of 37.5C - staff will make a courtesy call home and continue to monitor. If a temperature exceeds 38C - the child will need to be collected.
- Unexplained rashes - the child will be sent home and a medical clearance certificate will be requested prior to returning.
- If a child is lethargic, refusing meals, not particpating in experiences or generally not themselves, we will call you and may send them home at the School Director’s discretion.
