BENEFITS GUIDANCE POLICY

Effective: October 29, 2025. Applies to: IL, OH, KY, IN, PA, NJ, VA, MD, DE, NY, CT, MA, FL

Purpose of This Policy

This document outlines eligibility and benefits by role tier. It works alongside the Employee Handbook — refer to both. All benefits follow plan documents and state law.

Key Note:
  • Vacation & PTO are paid out at termination in all states except Kentucky (forfeited).
  • Field employees (AC1–AC3) receive holiday pay when a recognized holiday falls on a scheduled workday (normal production). This pay does not count toward weekly hours or trigger overtime.

Roles are classified by annual hours worked:

Paid Holidays

ECF recognizes 6 national holidays (offices closed; field ops shift):
  • New Year’s Day
  • Memorial Day
  • Independence Day
  • Labor Day
  • Thanksgiving Day
  • Christmas Day
If on weekend, observed Friday/Monday.

Holiday Pay:
  • AC1–AC3 (Field): Paid when a holiday falls on a scheduled workday (normal production). Does not count toward a 40-hour work week or trigger overtime.
  • AC4–AC6 (Office/Mgmt): Paid after 90 days

Paid Vacation

Full-time employees (AC2–AC6) earn vacation after 365 days.

Schedule:
  • After 1 year: 1 week (40 hrs)
  • After 5 years: 2 weeks (80 hrs)
  • After 15 years: 3 weeks (120 hrs)
Rules:
  • 30 days’ written notice
  • Vacation will not be authorized in snow markets during the on-season (November 15 - March 15)
  • Approved by Operations Manager
  • Paid out at termination (except KY — forfeited)

Paid Time Off (PTO) — Includes Sick Leave Accrual (SLA)

PTO is available to full-time employees (AC2–AC6) working >1,500 hours annually.
PTO = Personal Days + Sick Leave Accrual (SLA)
  • SLA = State-mandated sick leave (1 hr per 30–40 worked, up to 40 hrs/yr)
  • PTO = Company-provided personal days on top of SLA
  • Use for illness, appointments, family care, or personal business
Eligibility: After 90 days No carryover — unused PTO paid out next pay period

PTO Days by Tier (in addition to SLA):
  • AC2–AC3 (Field): 2 days/year
  • AC4 (Supervisor): 3 days/year
  • AC5 (Middle Mgmt): 4 days/year
  • AC6 (Senior Mgmt): 5 days/year

Health Insurance

Eligibility: After 90 days Coverage:
  • AC2–AC4: Employee only
  • AC5–AC6: Family

401(k) Retirement Plan

Eligibility: After 365 days. Contribution: Elective; Company match per plan

State-Specific Notes

  • Kentucky: No state sick leave; vacation forfeited
  • IN, OH, PA, VA: Local sick leave in select cities
  • CT, IL, MA, MD, NJ, NY: Statewide sick leave + paid family leave
  • DE, FL: Statewide sick leave (40 hrs); no paid family leave
