This document outlines the strict terms and conditions for attending community "Stay & Play" sessions organised by The Akidamy. These sessions are designed for children to explore sensory play in a safe environment under strict parental supervision. This agreement applies to all parents, guardians, and children participating in the sessions who are not currently in the care of The Akidamy's daily custodial programme.
To ensure the safety of all occupants and to comply with fire safety and insurance regulations, strict attendance tracking is required.
Sign-In & Sign-Out Requirement All visitors (parents and children) must strictly adhere to the sign-in and sign-out procedures upon arrival and departure. This provides an accurate record of who is on the premises in the event of an emergency roll call. By signing the register, you acknowledge and accept these Conditions of Entry.
In the event of a building emergency (e.g., fire, lockdown, or drill), visitors are subject to the authority of The Akidamy staff.
Adherence to Staff Instructions Visitors agree to remain calm and strictly follow all instructions and directives given by The Akidamy staff and Fire Wardens during an emergency or evacuation.
Evacuation Procedure Visitors must evacuate immediately when instructed, proceeding to the designated assembly area without delay. Parents must keep their children with them at all times during an evacuation but must not delay the evacuation process to collect personal belongings.
The Akidamy staff facilitates the activity but does not provide custodial care during these sessions. This is strictly a parent-accompanied event.
Full Parental Responsibility By attending, parents acknowledge that The Akidamy staff are present solely to facilitate play, not to supervise children. Parents agree to remain within arm's reach or direct line of sight of their child at all times. Parents accept full responsibility for their child's behaviour, safety, and interaction with other children.
To ensure the security and privacy of enrolled children, visitors must adhere to strict boundary rules.
Staff Accompanied Movement For the safety and privacy of enrolled children, visitors (parents and children) are not permitted to walk around the school unattended. Movement is strictly limited to the Reception Area and the Designated Event Studio. If you wish to view other areas of the school or use facilities outside the event room, you must be accompanied by a staff member at all times.
Designated Areas Only Visitors agree to remain strictly within the designated Event Room and the Foyer Reception.
Prohibited Areas Visitors are strictly prohibited from entering any other classrooms, sleep rooms, outdoor playgrounds, or staff areas. Wandering into restricted areas compromises child safety and will result in being asked to leave the premises immediately.
To comply with our insurance and child protection standards, the following rules are non-negotiable.
Phone-Free Zone All mobile phones must be left at Reception or securely stored in your bag upon entry. Parents are not permitted to have mobile phones on their person within the studio or play areas. If you need to check your phone or take a call, you must return to the Foyer/Reception desk (The Adult Zone).
No Photography Strictly NO photography or video recording is permitted by parents. To protect the privacy of all children present, you may not use any device to take photos or videos, even of your own child, while inside the event space.
To protect enrolled children and staff, strict health exclusion periods apply.
24-Hour Symptom Free Policy Parents confirm that neither they nor their child has exhibited symptoms of illness (including but not limited to fever >38°C, vomiting, diarrhoea, unexplained rash, or conjunctivitis) in the last 24 hours. The Akidamy reserves the right to refuse entry to any child or adult appearing unwell.
The Akidamy is a Nut-Free Centre. To manage allergies and hygiene, food consumption is restricted to designated areas.
Nut-Free Guarantee Attendees must guarantee that any snacks brought into the Centre are 100% nut-free.
The 'Adult Zone' (Foyer) All food and drinks (for both parent and child) must be consumed ONLY in the Foyer Reception area (The Adult Zone).
No Food in Play Areas Parents must not allow their child to carry food or drinks into the sensory play rooms to prevent choking hazards and contamination.
Strict Child Protection protocols regarding bathroom usage apply. For the safety and privacy of all children, visitors are not permitted to use the internal bathrooms designated for enrolled students.
Designated Toilet Usage Visitors agree to use ONLY the Universal Access Toilet (UAT) located at the Reception for both themselves and their child.
Supervision Requirements Parents must accompany their child to the UAT and remain responsible for all hygiene and nappy changes. Children are not permitted to go to the toilet alone.
Messy play inherently involves liquids, slippery floors, and small loose parts.
Slip & Fall Awareness Parents recognise that 'messy play' creates potential hazards. Parents agree to ensure their child walks (no running) and will exercise caution on wet surfaces.
Choking Hazards Parents will closely supervise their child with sensory items to prevent ingestion.
Clothing Disclaimer Parents acknowledge that The Akidamy is not liable for permanent stains or damage to clothing or footwear.
In the event of a medical emergency where the parent is unable to act, they authorise The Akidamy staff to administer First Aid and/or call an ambulance (000). The parent agrees to cover all costs associated with emergency medical transport or treatment.
In consideration of being allowed to participate in the Stay & Play sessions, the attendee releases, waives, and discharges The Akidamy, its owners, directors, employees, and agents from any and all liability, claims, demands, or causes of action arising out of or related to any loss, damage, or injury (including death) that may be sustained by them or their child while on the premises. The attendee agrees to indemnify The Akidamy against any claims arising from their negligence or their child's actions.
While parents are prohibited from taking photos, The Akidamy may occasionally take photos for marketing purposes. Attendees must indicate via a checkbox on the sign-in form if they GRANT or DO NOT GRANT permission for The Akidamy to take photos/videos of their child during the session to be used for marketing purposes (Website, Instagram, Facebook, Flyers). Please note the child's face will not be photographed or will be removed during editing unless express written permission is sought.
By signing or digitally accepting the visitor register, the parent or guardian confirms that they have read, understood, and agree to the Terms and Conditions stated above.
