(2600-ALL) Faculty & Staff Drill Procedures

  • The school operations manager (SOM) will train all faculty and staff on the school's mobile alert system and panic button technology.
    • Fire (Two within the first thirty (30) days of each school year and one (1) per month thereafter)
    • Lockdown (Two within the first thirty (30) days of each school year and one (1) per month thereafter) 
    • Tornado (once per semester)

    Lock Out Drill Procedures

    (A lock out is when there is a threat in the surrounding area of the school.)

    Procedure:
    1. The SOM must contact law enforcement 24 hrs prior to scheduled drill.
    2. The SOM must contact CCPS security team prior to the drill.
    3. The SOM, principal/head of school or designee sends a message via the mobile panic alert system and makes an announcement on the PA intercom system. The message should indicate that it is a drill.
    4. The SOM will set the timer as soon as the drill is initiated.
    5. Administrators will check their designated areas of the building.   

    Building Checks:
    The following are general guidelines. Please see Step 5 for any school-specific instructions that may vary from the recommendations below:
    1. First Floor (Basketball Court, Tot Lot, and Green Spaces) - The dean will check classroom doors and ensure that everyone from outside has come inside.
    2. First Floor (Front Office) - The principal/head of school will check that all offices are following proper lock out procedures.
    3. First Floor (Classrooms) - The school resource officer (SRO) will check that all classroom doors are locked and ensure that everyone is silent and following lock out procedures.
    4. Second Floor (Classrooms) - The school operations manager will check that all classroom and office doors are locked and ensure that everyone is silent and following lock out procedures.

    Lifting the Lock Out:
    1. The SOM, principal/head of school or dean will lift the Lock Out via the mobile alert system with a message that reads, “Lock Out Lifted”.
    2. SOM will stop the timer and log the following data:
      • Start Time
      • End Time
      • Time to clear the building
      • Make note of any issues (i.e. teachers leaving doors unlocked, no red/green cards, etc.)
    3. Once drill is completed, the SOM will email any teachers who were a cause for concern.

    Lock Down Drill Procedures

    (A lock down is when there is a threat inside of the building.)

    Procedure:
    1. The SOM must contact law enforcement 24hrs prior to scheduled drill.
    2. The SOM must contact CCPS security team prior to the drill.
    3. The SOM, principal/head of school or dean sends a message via the mobile alert system and makes an announcement on the PA intercom system. The message should indicate on both that this is a drill.
    4. The SOM will set the timer as soon as the drill is initiated.
    5. The SOM, principal/head of school, dean and SRO will check their designated area of the building.

      • Make note of any issues (i.e. teachers leaving doors unlocked, no red/green cards, etc.)

    Once drill is completed, the SOM will email any teachers who were a cause for concern.

    Fire Drill Procedures

    1. The SOM must contact law enforcement 24hrs prior to scheduled drill.
    2. The SOM must contact CCPS security team prior to the drill.
    3. The SOM will notify the faculty and staff of the first scheduled fire drill.
    4. The SOM will make copies of the Drill Attendance Roster for all who have designated areas during the drill.
    5. On the day of the drill, the facilities manager will put the alarm in test mode for the span of 1 hour.
    6. The SOM, principal/head of school, dean of students, and dean of curriculum will take their designated areas prior to the start of the drill. (Please see Step 5 for any school-specific instructions):
      • Designated Areas:
        • Parking lot
        • Basketball Court
        • Front Office
        • Rear car loop
    7. The SOM will give the instruction to the facilities manager to set off the alarm beginning the drill.
    8. The SOM will set the timer as soon as the drill is initiated.
    9. As faculty, staff and students are exiting the building, the SOM, principal/head of school and deans will be watching to ensure that everyone is silent and moving carefully and efficiently.
    10. Once the building is empty and all teachers are holding up their green/red cards, the SOM will stop the timer.
      • Teachers take attendance as soon as scholars are in line.  
      • If the entire class is present, teacher raises a GREEN card.  
      • If a class is missing a student, teacher raises a RED card.
      • If there are any red cards, the SOM, principal and/or deans should determine if the child is with another teacher or staff member.
    11. The SOM will begin roll call over the walkie talkie, using the attendance roster. 
    12. The facilities manager will begin by stating that the first and second floors are all clear.  
    13. Next, as the SOM moves through the attendance roster, the principal/head of school and deans will state which classes and staff members are in their respective areas.
    14. Once the attendance roster is complete, the SOM will make the announcement that the drill has ended and all faculty, staff and students may reenter the building.
    15. The SOM will log the drill information using the Fire Drill Report.

    Once drill is completed, the SOM will email any teachers who were a cause for concern.
