    Policies vs. Procedures

    Policies are mandates or rules designed and implemented in order support the goals and objectives of an organization. Your school's policies are located on the school website.

    Procedures are a set of instructions that describe in detail the steps to accomplish a specific task or responsibility. Procedures are often derived from policies and offer best practices. Procedures apply only to those who must complete the specific tasks.

    Knowledge Bases

    Procedures for the school's faculty and staff are located in the Teacher Knowledge Base and the operations staff's knowledge bases.

    Procedures for each job position are located in each knowledge base. The purpose of most of the procedures is to ensure that the school’s policies are being implemented efficiently. Some knowledge bases have more procedures than others due to the number of procedures we have received from existing employees thus far.

    The principal/head of school and school operations manager (SOM) have the URL links to each knowledge base. They will forward the URL information for each specific job position to the employee that has accepted the position.

    Please bookmark their knowledge base for future reference. Employees should check their knowledge bases regularly for updates.

    The goal is for faculty and staff to transition into their new role(s) efficiently and refer to the procedures as needed to perform important tasks.

    New Procedures

    To submit a request for a new procedure:
    1. Complete an Optima Procedure Template (see attachment)
    2. Forward it to your supervisor for approval
    3. Forward it to The Optima Foundation at team@optimaed.org 
    4.  The procedure will be reviewed and added to the knowledge base upon approval
