When employees work with different sets of procedures, chaos abounds. This was the case at Sigray. According to its director of operations, Nam Kim, things were all over the place.
The company had big scaling goals, but achieving them was impossible given the many operational discrepancies. Committed to streamlining the workflow, Nam implemented SweetProcess, a workflow management system, to document standard operating procedures (SOPs).
The team now has procedures that everyone uses, maintaining consistency across the organization.
About Sigray
Sigray is an industrial engineering company specializing in the production of x-ray microscopy machines for examining the tiniest elements in advanced scientific research.
Assembling this equipment in a highly controlled environment, it employs optical technology such as high-efficiency x-ray and ultra-high brightness to improve traditional x-ray systems.
Founded in 2013, the company has developed advanced, patented x-ray components, including x-ray microscopy and micro-x-ray fluorescence, which have been utilized by leading scientists in America, Europe, and Asia.

Dealing With Inconsistencies From Autonomous Procedures
Recalling his early days at Sigray, Nam noted that inconsistent documentation was a significant challenge. Team members had their own documentation in Google Docs and binders, which they considered their property and not the organization’s.
“They’d keep their notes on Google Docs. They didn’t really share with other people…. One tech had a huge stack of binders of just schematics on his desk. I realized there were so many documents everywhere…. It was just a mess,” Nam stated.
The individual procedures created a disparity in employees’ performance. The company managed to stay afloat, holding the scattered pieces together. However, it became apparent that the lack of operational consistency was a growth deterrent as they began scaling their operations. This stark reality propelled Nam and his team to fix the problem, leading them to discover SweetProcess to create scalable workflows.
How SweetProcess Improved Operations as the Single Source of Truth
Nam tried out several tools as expected, but SweetProcess stood out to him because of its unique features, including a centralized knowledge base and affordable pricing.
“I was looking for a product where I could start collecting all our tribal knowledge from all our tech staff who have been here for a long time…. I wanted one source of truth,” he said.
He further explained how he and his team use SweetProcess for continuous improvement below.
Effective Documentation
The challenges of documenting procedures in Google Docs and binders were top of mind for Nam to resolve. Creating and retrieving documents in those systems was difficult. These issues were resolved entirely with SweetProcess, as they could easily develop procedures not just in text but also in a combination of visual elements and track changes.
“It’s easy to upload pictures…. You can upload videos and link to some documents. We could actually put a link in SweetProcess to link to our existing documentation. It was pretty straightforward,” he said.
Creating multimedia documents and linking pieces of information has increased team members’ willingness to work with the SOPs because they are comprehensive and accessible.
Onboarding and Training
Manual documentation delayed employee training and onboarding at Sigray. Trainees had to be guided through piles of documents in Google Docs and binders. However, SweetProcess has accelerated the process by providing some independent training in the system. Training materials are clearly documented beforehand and shared with employees.
“Whenever a new tech gets hired, they just need to sit through, click through each section, and then they’ll finish at least the basic minimum requirements of what a tech should have,” he said.
Accelerated training enables new team members to make significant contributions to the workflow more quickly. It also ensures that established employees have the latest skills to meet their developing needs within the business.
“SweetProcess has decreased the time for training because now they don’t have to ask ‘How do I do this?’ It’s already spelled out, as long as they follow the procedures in the instructions,” he added.
Regimented Workflow
Due to the technical nature of the business, employees were accustomed to just going with the flow, performing tasks at their discretion. The absence of a sequence further disorganized the workflow. There was no way to track performance and adequately measure progress.
“Before SweetProcess, they would just work on whatever they felt like…. SweetProcess forced us to have structure inside our manufacturing. Not just the documentation structure, but also our workflow to give us more regiment,” Nam stated.
SweetProcess offers real-time tracking and collaboration data. You can see how team members engage with ongoing tasks, seeing who does what and when. This tracking creates transparency and accountability.
Version Control
Updating documents and tracking changes using version control were impossible with the organization’s previous documentation system. This deficiency hindered operations as they lacked the flexibility to adopt various versions of the same procedure for specific use cases.
“A lot of times, we would go into Google Docs, make changes, but you wouldn’t even know you made changes. But at least SweetProcess tells you what’s been changed,” Nam revealed.
The Blue Print To Streamline Your Operations for Success
If you’re looking to streamline your operations, Nam advises conducting a comprehensive review to identify existing gaps. In his case, he discovered an inconsistency caused by ineffective documentation. This prompted him to implement SweetProcess to create SOPs in a centralized system accessible to authorized teammates.
“The first step is to map out. Using SweetProcess would be a good way to do that,” he recommended.
Nam’s experience shows that the right tool can make a big difference in a business. But you don’t have to just take his word for it. SweetProcess offers a 14-day free trial that gives you access to all its features without needing a credit card.
If you’re satisfied with SweetProcess at the end of your trial, you don’t have to break the bank to subscribe to it. “I was looking at different products, and SweetProcess was offering a pretty good product at the price range we needed,” Nam said.
You get an effective tool at an affordable price. Sign up for the 14-day free trial now to see if it’s a good fit for your business.
